Virtual Assistant Contracts

When a client requests your services, you should have them sign a contract. A contract is a legally binding document between you and your client. It basically states, what services are to be provided, the cost of services, what day services begin as well as when services are due, and how payment is to be made. It is also important to include a confidentiality clause informing your clients that the information they provide you will be held in the highest of confidence. In addition, you should include any specific information that you and your client discussed for that particular project.

There are different types of contracts you can use based on the services that your clients request. First, there is the hourly contract. This type of contract is used for projects that require little time to complete and are paid on an hourly rate. For example, if a client request for you to type a 1-2 page letter you could have your client sign a basic one page contract stating the services, due date, amount to be paid, confidentiality clause and any specifics regarding the letter. Some VA’s, however, may choose to accept the project without a contract due to the fact that it is small. Though, this choice is up to you. Clients who are requesting your services for larger projects, however, should always sign an in depth contract that explains in more detail the legalities between you and your client.

Secondly, there is the per project agreement. VA’s use this type of contract for clients they work for on an occasional basis. They are signed yearly and state the VA’s operational policies as well as other information regarding working on a project-by-project basis throughout the year. This type of contract allows you to work on multiple projects for this client throughout the year, without having to sign a contract for each project.

Finally, there is the Virtual Assistant Retainer Agreement for VA’s who will be working with clients on an ongoing basis. These clients will be signing up with the VA under their monthly retainer plan based on the number of hours they require.

If you are unsure how to create the different contracts you may instead choose to purchase them at the Virtual Assistance Chamber of Commerce website, at an affordable price. The Virtual Assistance Chamber of Commerce also offers many other forms specifically for Virtual Assistants.

While you may create your own contract or purchase one from the Virtual Assistance Chamber of Commerce or other source, you should consider looking into having your contract reviewed by a professional lawyer. This will confirm that the contract you are using works for you and protects your business.
